Contact and project enquiries
When you submit the contact form or contact us by email, we process the information you provide, including your name, company, email address, selected area of interest and project message. The mandatory fields are name, email address and message. We use this information to respond to your enquiry, evaluate the requested project and take pre-contractual steps. The legal basis is Art. 6(1)(b) GDPR or, where applicable, our legitimate interest in handling business enquiries under Art. 6(1)(f) GDPR.
CRM processing
Contact-form submissions are transmitted through an encrypted connection to the Quantum-Institute Odoo CRM and stored as a sales opportunity in order to process the enquiry and manage the resulting business relationship. Access is restricted to authorised personnel. We retain enquiry data only for as long as it is required for these purposes and applicable legal obligations. If no business relationship results, the data is reviewed for deletion when it is no longer needed.
Website access
Our hosting provider may process technical data required to securely deliver this website, including IP address, request time, requested page, referrer, browser and operating system. The legal basis is our legitimate interest in secure and reliable website operation under Art. 6(1)(f) GDPR. Technical logs are retained according to the provider's security and retention rules.
Cookies and analytics
This website currently does not use advertising, marketing or analytics cookies. No non-essential tracking is activated through the contact form. If non-essential cookies or analytics are introduced later, they will not be activated before the required consent has been obtained and this policy will be updated.
AI site guide
The site guide currently answers basic navigation and service questions in your browser. Do not enter confidential, personal or sensitive information. If an external AI provider is introduced later, this policy will be updated before that processing is enabled.
Recipients and international transfers
We use service providers only where required to host and secure the website, operate the CRM and respond to enquiries. Data is not used for unrelated marketing without your consent. Where personal data is transferred outside the EEA, we rely on an applicable adequacy decision, Standard Contractual Clauses or another safeguard permitted by the GDPR.
Your rights
Subject to the GDPR, you may request access, correction, deletion, restriction, objection and data portability. You may withdraw consent at any time with future effect and lodge a complaint with the competent data protection authority.
